BOOKING/DAMAGE DEPOSIT

2023 precautions. please note that our clients and staff health and safety are our #1 priority. We may require EXTRA time in between rentals to clean, sanitize, or repair. 

NO MINIMUM rental nights required on Most UNITS

-  A minimum of $500.00 (or full payment) booking deposit for ALL BOOKINGS due at time of booking. (Pre Authorized Damage Deposit $750- $1500 for ALL Trailers / Motorhomes, and $2000 for all boats is required on day of Rental).

No unit will be reserved until deposit has been received. Payment can be made by credit card ( Visa & Mastercard ) ,Cash, or E Transfer payable to "Eagle Ridge Holdings Ltd."

The booking deposit will be applied to the rental account balance. The Pre Authorized deposit will be released upon return and inspection of the RV returned on time, undamaged , clean, equipment complete and holding tanks empty.

Damage deposit will be released within 3-5 days of return of the RV unless damages caused by renter need to be completed.

 YOU are financially responsible for ANY and ALL damages or clean/ dumping fees.

 

 

RENTAL CONTRACT PAYMENT

Full payment of rental contract is required 30 days prior to Rental Date. The booking / damage deposit is separate from the rental amount and not to be considered as part payment of rental contract. 

If payment is not received 30 days prior to pick up date, the reservation will be cancelled and the booking deposit will be forfeited. Payment can be made by credit card ( Visa & Mastercard ) ,cash , cheque or wire transfer payable  to "Eagle Ridge Holdings Ltd."

 

RENTAL UNITS 

Eagle Ridge Rentals makes every attempt possible to provide the best quality RVs. As rentals Units are out, Life can happen where RVs are in operable due to damaged or broken by Accidents, acts of nature, etc... Eagle Ridge at our discretion may have to replace or at last resort cancel a booking.  

CANCELLATION POLICY

If a booking is cancelled in the period shown, the amount payable to the renter is: (Any / All changes/ cancellations to invoice MUST be done in writing via email).  Minimum cancellation fee is $75.00.  

  • 31+ days prior to pick up             80% of the paid amount 

  • 30 - 16 days prior to pick up         50% of the rental amount

  • 15 days or less prior to pick up    0%   of the rental amount

 

PICK UP TIMES

Pick up or delivery times of units is between 1:00 – 5:00 pm on the first day of rental period, unless other arrangements are discussed (early pick up fee if available is $30/ hr / Late drop off fee is $60/hr).  Please allow for 1 hour for instructions, hookup and paperwork. Please note that sometimes the unexpected can and will happen to cause a late drop off / delivery or pick up. Please be courteous for our next guests.

 

RETURN TIMES

The unit MUST be returned back to our yard by 11:00 am on the return day of rental. Late Fees WILL be assessed and charged ( Late drop off fee is $60/hr) accordingly. We would ask that you the renter call or make arrangements 24 hours before return date to avoid any delays in returning the unit. There will be NO refunds for early return.

 

OPERATION 

 The renter is responsible for the working operation of all trailers, RVs, Motorhomes. If there is a problem with the operation of any component or not sure of the operation of the component, please contact us immediately by phone.

 

 

AWNING USAGE

Each unit is supplied with a roll-out awning for your enjoyment. Please be very careful when leaving the awning out at any time, especially when you're away from the campsite. It is strongly recommend rolling the awning up when going away or during the night. The awning cost is YOUR Financial responsibility, you will be charges for any damages, so please use with caution.

 

CLEAN UP/ Lost Keys

  • Unit must be returned the same clean condition inside and out that you picked up your rental unit to AVOID cleaning charges of $195.00 minimum.

  • If holding tanks are not emptied upon return, you will be charged $100.00 disposal fee.

  •  Lost Keys are charged $125.00 for replacement.

 

RENTAL PERIOD

Rental charges are based on the number of nights the unit is booked for.

 

REPAIRS

If any repairs are required while travelling, the renter can spend a maximum of $100 without notifying Eagle Ridge Rentals. The renter will be reimbursed for repairs upon return of the unit. Receipts must be submitted for reimbursement.

 

ACCIDENTS

If an accident occurs, a police report must be filled out. There is copy of the registration for every unit located at Eagle Ridge Rentals and can be emailed upon request. You are responsible for the RV while in your possession. Any / All damage tickets / fines/ etc... will be billed accordingly to the renter on the contract at cost plus 50% admin fee. 

 

INSURANCE

Each unit carries a $1000.00 deductible on the insurance policy with SGI. The renter is responsible for the deductible in the event of any accident. Eagle Ridge Holdings Ltd. carries a $200,000 liability in the event of any serious accident. The insurance policy covers the rental unit only and does not cover any personal belongings, nor personal coverage. The motorhome windshield is not covered under our insurance and you will be responsible for any serious damage. Cost of replacement of windshield is $1000.00 so we recommend you purchase our $0 deductible glass package for $150.00.

 

ELECTRICAL POWER

We strongly recommend a campsite with electrical service. We will ensure that your battery is fully charged upon pick up, but cannot guarantee how long it will last. 

OPTIONS 

- generators Available for rent for $30.00/ day plus taxes

- Extra RV Battery with quick connect plug $20.00 day plus taxes 

 

OFF Grid Camping 

 All of our Camping Units start the season off with good charging Batteries. Due to high use any battery regardless of its age can loose its ability to hold a charge, causing loss of 12v power to camper. this loss in 12v power can cause the loss of Fridge/ Furnace/ lights/ hot water.   

If you are Off Grid Camping (without 120v power) please ensure that you have a back up plan for 12volt.  

 

 

SMOKING

No smoking is allowed in the rental unit. You will LOOSE your damage deposit if smoking is detected. Please keep windows and doors closed near camp fires.

 

PETS

We love pets and do allow them in the units for a $25 fee, but remember you are responsible for proper cleanup, and there is NO trace of your pet. Pet Hair, food, or any trace of pets in RVs will result in 100% LOSS of your Damage Deposit to properly clean units for our next guests. 

 

RENTER AGE

The renter must be minimum 25 years of age, and have a VALID Canadian drivers license . the name on the contract is 100% responsible for the RV and insuring unit is properly hooked up and towed. 

 

TOWING

Your tow vehicle must have an adequate tow rating.Please inquire with us prior to booking. A Class III 2"X2" hitch receiver is required on your tow vehicle. If required we can provide (for a fee $50.00) a hitch platform complete with  2 5/16" ball  and/ or load-levelling hitch with stabilizer bars to fit a 2" X 2" receiver.

All our  travel trailers require a 7-pole RV style wiring receptacle on your tow vehicle. An electric brake controller will also be required on your tow vehicle. Please make sure these are all in working order before pick up. We can provide towing mirrors if required.

NONE of our units have active hitches for towing boats, golf cart trailers , etc...
